LitSmart AutoTasker

The LitSmart AutoTasker application was developed to address a need to streamline and automate routine manual takss that occur across all Relativity workspaces and ensure consistency of processed. With the LitSmart AutoTasker, typically manual tasks are customized and run automatically once data has been loaded without the constant oversight and interaction of a LitSmart team member, resulting in more consistent and efficient workflows and a measurable decrease in time spent on routine manual tasks. Kilpatrick Townsend was awarded the "Best Innovation: Law Firm or Corporate Solution" at the 6th Annual Relativity Innovation Awards in October 2019 for the LitSmart AutoTasker.

LitSmart Shipping Tracker

Part of our business is processing and managing data, so we understand the importance of tracking media. Clients want shipping to be simple. Often, confidential and proprietary information is involved, so they want to know where it is at all times. LitIntake 2.0 tracks media once it has been delivered to LitSmart, but we needed a dedicated tracking tool to follow and locate media en route. From this, the LitSmart Shipping Tracker was born. The LitSmart Shipping Tracker is an application within Relativity that integrates with all major shipping companies. Clients have the ability to print shipping labels and track their media directly from Relativity. LitSmart was honored as a finalist for the 2018 Relativity Innovation Award for the Litsmart Shipping Tracker.

LitSmart Exhibit Sticker

LitSmart Exhibit Sticker started with a 3 a.m. phone call. A distressed paralegal needed exhibit stickers by 8 a.m. We had to export and stamp more than 500 potential trial exhibits in just five hours. We did it, but we decided that there had to be a better way. Since there was no option in Relativity to digitally stamp exhibits. So we developed LitSmart Exhibit Sticker as an application within Relativity. It automates the process of exporting and stamping exhibits. LitSmart was honored as a finalist for the 2017 Relativity Innovation Award for the Litsmart Exhibit Sticker.

Predictive Categorization Workflow

Faced with a time-sensitive review of more than 5 million records, and more data still coming, LitSmart needed a way to efficiently bucket documents into categories. Tens of thousands of records were being added on a weekly basis with a wide array of potential issues. We determined that Relativity Assisted Review could not meet our needs. So LitSmart developed a unique solution that combined the best parts of Relativity Assisted Review with Categorization to create a unique workflow. As a result, we have successfully classified millions of records into more than 50 unique categories while preparing for more than 200 depositions.

Subpoena Response Management

Many organizations are regularly bombarded with subpoenas, sometimes even daily. Unless there is a member of the in-house legal team dedicated solely to responding, it can be impossible to meet the tight deadlines involved. After observing this specific need, LitSmart created a workflow that manages the influx of subpoenas. Working with the client’s IT team, we can automate the legal hold, identification and collection processes. We store potentially responsive documents in Relativity for when those same documents will be needed again. We work to narrow the subpoena whenever possible, move for cost shifting when appropriate and develop a standard set of responses and objections (sometimes in letter form). These responses are tailored to the client’s needs and can be adapted to each subpoena.

Legal Hold Workflow for External Clients

Many of our clients have struggled with notification and tracking for legal holds as part of internal investigations, third-party subpoenas or litigation. To help automate the process, we have adapted Relativity’s Legal Hold application. Each week we send a significant number of legal holds to different groups of individuals within each client organization. We are able to track acknowledgments and responses to questionnaires, while at the same time providing simple and easy-to-understand reports to the client. Within a single Relativity workspace, we can effortlessly manage both the legal holds and any other data collected, taking the labor off the client altogether.
